Reports in Multilocation Practices

Is there anybody else out there that requires the reports to be filtered by location? Also I feel I need some more information out of my reports, I would like to be able to generate reports filtered by location over a specific period giving 1/ The gross income generated 2/ The number of clients/patients seen 3/ The number of invoices generated 4/ The income generated by each Vet 5/ The profit generated by Vet and by clinic. 6/ The number of visits per client 7/ The average value of the invoices and clients RxWorks (or doesn't) gives a report (A4) that gives most of this detail even though you have to do a bit of manual calculating. A rich interface to design reports from OpenVPMS
Hi Chris and everyone,
I was chatting with Tony today about reporting. There have been several topics raised in respect to this. Nick raised the ability to export data in a chosen format. Bayer has expressed interest in creating the ability for pratice managers to export data automatically and even in a scheduled fashion. There have been a variety of requests for practice reports in other posts as well.
Tony has suggested an approach that could encompass all of these requests and future anticipated needs as well. Essentially the key steps are to;
a) Create a Data Warehouse
This would involve a snapshot of sorts of the data within our OpenVPMS database. It is organised however in a way that is more suitable for reporting and business analysis.
b) Use software to allow an intuitive building of new reports without having to understand SQL or other database languages.
There are apparently several options here including some which will handle scheduled reports and report delivery (email etc).
The potential benefits here span many entities. Here are some possible scenarios:
Practice Managers
Can design reports specific for their practice and run these reports without slowing down the application. The practice manager wont need to know SQL, just a clear understanding of what vital signs they want from their business.
Manafacturers
Some of us provided anonmysed sale data to some manafacturers and this imposes a workload on our clerical staff. Here the interested parties can design their own "Analysis Modules" and we can plug them into the interface.
Business Analysts
For that associated industry that provides advice and business analysis, they can design their own suite of reports that they use to provide their analysis, easier and quicker for OpenVPMS practices.
This project will be launched in the new "Active Projects" area of the website that is coming soon. This would also replace the proposed "Ad-hoc data export" proect. Until that happens, can I invite all parties excited by this scenario to repond to this post. I would love to see those entities that will directly benefit from such a powerful business tool put their 2 cents in.

I thought you might appreciate this idea. Nick, do you see this satisfying your requirements for data export? I was curious about any practice managers out there how they might see this feature being useful in their day to day work. With the end of the financial year coming round I imagine many of us are thinking about financial reporting.
Tony are there any key issues you wuld like discussed by the user community before this get moved to the next stage of development?
I imagine this will be a bit of work so it will need broad based support to get past "Seeking Funding" stage I predict.
As a example of how this could be materially useful, we have been pulling data out of OpenVPMS using SQL queries for some time now. We extract the billing data grouped right down to hour of day and then use a another database comparison to match the billing data against our roster (which lives in a different database). The analysis has been very helpful in structuring our labour and shifting our roster around to more productive shifts. It also has provided management focus to find out why some shifts, at some times, don't perform. With the sort of data manipulation this project represents this would be a much simpler process accessible by many more users.

Surely one of the main reasons to have a computer system is to get reports that allow efficient practice management. I would go so far as to say that the reports should be designed first and the rest to provide the information required.

Based on some specific financial reporting requests in the forums by yourself, Chris and Jim I have produced a sales analysis report that provides some of the information requested. This may help in the mean time while we work through the business analysis development process.
I haven't tested it against a wide range of data so any feedback on the figures generated are definitely welcome. Here's a link to the shared resource page.

The OpenVPMS Business Analysis Toolkit Webinar
Hi everyone,
I'm keen to further explore what this project might deliver to us in respect of what we might be able to do in real terms.
In other words answer the question,
"If this project is successful, what might I as a Open VPMS user, or practice analyst be able to do?".
A quick reminder about what this project seeks to acheive:
- Export the raw OpenVPMS data into a form that can be readily used with existing 3rd party reporting tools to provide business analysis.
The transition goes like this.
OpenVPMS database->Data warehouse->3rd Party reporting design program->Amazing reports providing insight into our businesses!
This project will faciliate step 1.
This post came from a suggestion by Nick that it might be useful to be able to see one of the applications that would be able to be used, in action. I've chatted with Tony and we think that an on line webinar demonstrating one of these sorts of prgrams would be a good idea.
A webinar in this context is like a online lecture. Tony will demonstrate how these programs can be used to create simple reports, schedule them, control how they are delivered etc. We were think sometime in late July or early August. Please reply to this post if you are interested in participating.

I would take this oppurtunity to remind affilliated veterinary companies/industry that members of the user community are going to be more inclined to give their practice business to those companies supporting them in making their software better. This would seem to be particularly true when the feature under development directly benfits or affects the affiliate...

The OpenVPMS Business Analysis Toolkit Webinar (Update!)
Hi everyone,
By now everyone who has emailed me with an interest in this event must be thinking I have forgotten completely about it and it has become a great idea that will never see the light of day!
I have not forgotten about it. It keeps popping to the top of my task manager saying things like "You still haven't done this" or "Do it NOW!". There is a "defer" button on my task manager which I need to disable.
Anyway, I am committed to getting this done this coming September or early October. Can I get an indication from those interested as to what weeks in Sept/Oct would suit?

Date for Business Analysis Webinar
Hi everyone,
The date for the on-line webinar is set for Tuesday 15th September. The exact time and instructions on participating will be announced before the date.
Just a reminder,
This webinar will demonstrate the operation of some third party reporting software. The development proposed within the Business Analysis project will permit the use of these type of reporting packages. We may have some OpenVPMS data to demonstrate, but this will not be a demonstration of the data export or "warehousing" process.

Valuvet & MPV consulting
I have informed both veterinary consultancies of the proposed webinar and hope they participate. Other users may wish to inform consultants they use of the webinar. (I will participate, any news on time yet ?).
Multi location
The multi locations would be good for us to as we have 4 locations.
Other info that I would like to extract :
- Total $ spent by a client in a given period
- Returning client/patients in a given period
- Non-returning clients/patients in a given period
- Total sales by product type in a given period
- Numbers of fixed fees invoiced (eg our consults and surgery etc are under "fixed fee" not unit price and so when I do a report for consults I get the total $ amount invoiced and the number of consults is 0. If I do a report with detail, I can get a report with all the items by customer, but who wants to count the number of consults in a 10 vet practice manually? As my report contains several different types of consults with varying prices, it is not just a matter of dividing the totals by the price (and this doesn't take into account discounts either). Is there a way that the fixed fees can be counted as being invoiced, or do I need to go through and change every thing to an item, but this then removes the ability to have multiple fees for the same thing...
Any thoughts?

Thanks all those attended the OpenVPMS Business Analysis seminar.
Thanks go to Tony for presenting such an interesting demonstration of reporting types.
For those who missed it, Tony is going to post the slide show from the seminar on the site when he gets a chance.
The participants uniformly agreed the potential represented by the project was very attractive and that in order for it to become a reality it would take a reasonable number of contributing practices and interested parties.
