Integrated Visit Editor
Hi Everyone,
The Integrated Visit Editor project was documented as a development project in the middle of last year based on quite a number of practices indicating it would be a critical enhancement to OpenVPMS. Since then there has been no discussion on the project and also no funding offered.
Well the excellent news is Bundoora Veterinary Hospital and Clinic has very generously offered to fully fund the project based on the current specification, funding estmate and that it is included in the 1.6 release. This is an extroadinary contribution to the project and I thank Roger, Brian, Jon and all the team at Bundoora Veterinary Hospital for their support.
Tim and I have reviewed the specification to make sure we have taken into account all the requirements and potential ramifications and have made some changes to the specifications to document this. I believe it is very important that all users read and understand this carefully and discuss it on the forums if they have any questions or concerns. This enhancemnet has to go into the 1.6 release so any discussion and/or specification changes need to made within the next 7 days. If no discussion ensues we will assume everyone is happy and the project will move to the development phase.

A question regarding this feature.
The specification outlines the addition of charges to the medical record view, as well as a change to the Edit Medical Record popup that we currently use. The change seemed to imply the addition of a number of tabs to the view , one of which was charges, which can be used to view and edit charges.
I note that the intention is to allow people to filter out the cost information.
but I also not that act.medication entries will be updated to add the total invoiced amt to the medical record entry. Does this mean filtering cost data will filter act medications, or will the cost data simply be striped from the line entry.
My question relates back to a previous issue that Bernie was having with printing the current medical record view particularly when filters where applied. also when preparing medical records to be sent to a new clinic or to a referral doctor, this customization is important.
That being said this change is quite possibly the biggest current hurdle stopping implementation in my practice....I love openvpms even in its current iteration, however other vets here, cant quite get the idea of the current consult....then invoice workflow as it currently is set out. This change as I understand creates the ability to flick between the two. and essentially do both concurrently.

The intention is definitely to only filter out the charge component of the medication display and any other charges shown in the summary. The medication details will remain.

I have a couple of questions regarding the integrated visit editor but before I do can I just say a big thankyou to Bundoora Veterinary Hospital and Clinic for their generous donation.
I was just wandering how the integrated editor would work when 1 client has more than 1 pet presented at the same visit. Would the editor only display charges associated with the selected animal from the invoice? ie. both animals are still on the 1 invoice but only the relevant invoice items show in the visit editor?
One other thing that would be good to see on the editor (which is currently a bit of a pain to get to) is estimates. I don't believe that they are in the current spec that has been jira'd?
In terms of the functionality of the editor I note that there will be alot of tabs. Is it possible to set it up to navigate between the tabs on mouse hover instead of on click?

Hi Matt,
The charges editor will only show the charges for the current patient and the visit total rather than the invoice total. As you suggest the underlying invoice will still be able to manage charges from multiple patients/visits.
Estimations would definitely be an additional enhancement and hence development project.

Sorry to be posting my questions on the last day before cut off but it has been a hectic week!
I would strongly urge all users to very carefully review exactly what is being suggested here. This will be a great improvement but it will be a change that will not present an option. You will need to apply it to continue to use versions after 1.5.
SO READ THE SPECIFICATION AND ASK QUESTIONS NOW!!!! :)
I wonder if I might start by clarifying the changes as I understand them from the project description:
1. The Medical records editor which currently has no tabs, will now contain a functional (can add/edit/delete) Reminder/Alerts & Documents tab.
2. Charges within the medical record will appear as linked to a Visit.
3. There will be a new Medical Records filter that allows charges to be visible or not.
4. Status changes for Visit are linked to changes in the status of the associated invoice.
They all sound like very worthy modifications and I would note that it is not too late for people to contribute to this project especially if there are ammendments such as Matt Y's suggestion to add Estimations to be able to be generated (and I would suggest linked to Visits also).
I had the following queries:
1. How will the user generate a new invoice item? Will there be two seperate windows with the charges populated from the currently selected Visit? Or will the user just add a billing item to the visit as they currently do with say a Note via the Visit Item list selector?
2. The revised Medical Records filter to filter out Charges
Will this be a tick box just for Charges Visible/Not Visible or will this be an enhanced filter that allows one or more Visit Item types to be visible/not visible (Multi select list selector).
3. Currently we can end an invoice by using the keyboard shortcuts that automatically set the status of the invoice. This is a great time saver in our clinic where keyobard shortcuts are drilled into staff. Will the visit/invoice editor retain these linked sort of buttons/shortcuts.
eg.
Alt-T - Finish editing and "Complete" the Visit and also the associated Invoice.
Alt -I - Finish editing but keep Visit and associated invoice "In Progress"
4. Will the current balance in the summary tab update as Billing items are applied so that the current invoice total can be applied?
5. How will the "Invoiced" Estimations know which Visit to link to?
6. Will a user still be able to go directly into Customers->Invoices and add new items? If so which Visit will they link to?
7. When entering into a Patients Medical record directly (say by clicking on the Patient Summary) and not through a the Consult workflow button, will the same dual editing be possible?
8. Will printing of Patients Medical records still be supported via this dual editor? Will we be able to print an individual Visit with or without Charges.
9. Will the template for Invoices change?
In other words will they be grouped by Visit? What will the ordering be if so?
Patient -> Date of Visit-> Date of Invoice Item

All valid questions that need clarifying.
1. As per JIRA there will be a new charges tab in the editor. it will only show charges for current visit.
2. Tick Box. No fitting multi select in this version
3. I expect these buttons and shortcuts will be available on the new charges tab but will get Tim to clarify in JIRA
4. Yes.
5. Will use same algorithm that is currently used to link medications, investigations etc to visit.
6. Yes. as per 5
7. Not in current spec but could if required. Will have extra cost.
8. Don't beleive so but printing can be still done in Medial Records and filtering of charges will be supported. May need to change to template design.
9. no changes required to template unless you want to modify yourself to group by. Visit

Yep - Alt-I shortcut will be provided for "In Progress" and Alt-T for "Completed" on the charges tab.

This would be a great enhancement to OpenVPMS and I would like to thank Bundoora Veterinary Hospital and Clinic first too for making this project happen.
And thanks Matt C for the post above as I share similar questions particularly point 5,6,7,8 of his queries.
I also agree that adding Estimation function will be most logical for future development.

I'm aware that the new Visit editor has been costed jira'd and is under development so any new comments regarding design will probably go into the next wish list
But I have been trying to work out an effective way to use "problems"
I was thinking that its sort of backward. Vets list histories chronologically. At the moment if I want to make a note under a problem its lists it under the problem in the summary...
why not make PROBLEMS sort of like Tags that cane be applied to a visit. A visit can have more than 1 tag and a tag can be applied to multiple visits or notes , docs etc
So visits can be sorted by problem in the problem summary or chronologically as per the summary tab

Hi Ben,
The existing problem based medical records view has not evolved with the rest of the visit changes that have been made and as such desperately need review. I like your idea of tagging visits with problems and having an option to sort and filter by problems. Suggets keep lobbying and hopefully you may get a development project out of it :-)
