Preview Vs Print on Customer Charges Screen

Hi,

Just curious why there is no "print" button for invoices on the Customer|Charges screen. I just wanted to email an invoice (uncompleted) to myself actually and noticed I couldn't do it (Preview only).

The report templates don't indicate if an invoice is finalised or not, so an email or print of an In Progress invoice could be misleading. That said, you can always email the downloaded PDF via Acrobat's File|Send File option.

Hi, Yes but we accomplish the same result (print an invoice, email an invoice) by previewing then saving or using acrobat or another PDF manipulator to print/email/etc. So we are able to make our incomplete invoice no matter what. It is just a bit more trouble now. My feeling is for consistency and ease of use this should be a print button like elsewhere.

An option would be to have a different invoice template for printing from here that displays ("Unfinalised" or "In Progress") on the invoice but is otherwise the same as the standard invoice template.

Anyway, not a biggie. As you said there is a workaround.

I don't have a problem with replacing Preview with Print. I think you need to get concensus from other users though, as it will require updating customised templates to include the status.

Adrian - in the background of this issue is the usage of the 'printed' flag on the invoice.  This is set when the invoice is printed but not when it is emailed or previewed.

In the standard statement document template, the invoice line items are not printed if the invoice has its printed flag.  [You will remember Greta's problem of why do some invoices have the lines items and some not.]

Hence, the one thing you really don't want to do is to have a situation in which printing the non-finalised invoice sets the printed flag.  If one is using a tweaked statement that has this 'suppress invoice detail if printed' feature removed (as does the one I did for you), then there is not a problem - but for others there may be.

The same considerations apply to the question of 'should emailing (and possibly previewing) set the printed flag'.

In our case it has no impact, since our statements always show line item detail. However, for other practices using the standard template, there is an impact.

Maybe the adjustment here in the flow is that the printed flag should never be set if the invoice is NOT finalised?

Once the invoice is finalized printing or emailing will set the printed flag - alternatively make it a possible practice setting as to whether emailing will set a printed flag....

Although we seem to be have an ever increasing number of practice/practice location settings.
