stock not coming up for reorder

Hi,

I am using the Generate order feature to do a stock order, but even though my stock quantities & critical quantities are correct, certain products are not coming up for reorder. I was previously using the stock order report until our upgrade but that was not ordering correctly either!

Example:

metacam 100ml Qty = 1, ideal qty=4, critical qty =3 (amt to order should be 3)

on the stock reorder report it was ordering about 5, and now using the "generate order", at or below critical levels, it is isn't coming up for reorder at all.

Please help, as I am having to go through our stock manually when doing an order in case it isn't ordering something (as this isn't the only thing it's not reordering).

Make sure the supplier is the preferred supplier of the stock, and the package size is set correctly. More details here: http://www.openvpms.org/documentation/csh/1.8/supplier/order/generate

These are all set up correctly. The strange thing is it was ordering correctly for the first couple of weeks. I think there may be a bug somewhere as some products have randomly started not coming up for reorder.

I think the link states that anything at a negative will assume it's zero. Is this correct? As we often have products in the negative if we run out of stock & they get billed to customers (to collect when the stock arrives), I was assuming it would still order the correct amt, but according to this it won't order enough to cover the -ve amt & make it up to the ideal.

I guess this may be some of the problem, and why our stock levels are often incorrect....

Which brings up another qn, if we are -3 of an item, we receive 3 in the order, the stock level on the computer would then be 3 (if it assumes the -3 is zero) when in fact the stock level is zero. ?

Do you have any outstanding orders for the product? If so, these will be factored into order calculations.

When a delivery is processed, the delivered quantity is added to the stock quantity, so if you have -3 stock and hand, and receive 10, the stock will go up to 7.

All orders are entered when I check stock levels so this is not the issue.

So it will recognise an amt below zero? As the link states it won't, it says anything below zero it will assume is zero. I will keep trying and see what happens!

I have just run an order and we now have 4 regular stock items not coming up for reorder.

This is how it is:

stock on hand = 1, ideal = 24, critical = 12

generate order = none come up for reorder, on the reorder report 36 come up for reorder.

The next item stock on hand = 5, ideal = 7, critical = 5

generate order = none, reorder report = 4 for reorder.

As neither is correct it is making it hard to know which method to use!!

All stock qty's are correct (I just did a stock adjustment before ordering for some to correct them, others were already correct), preferred supplier, none pending etc etc. They have all come up for reorder in the past, so are not entered incorrectly on the system.

And here I was thinking the generate order feature would make my life easier!!

  • What is the package size for each item?
  • Do you have any orders or outstanding i.e have Delivery Status set to Pending or Part?
  • If you go to the Suppliers tab on the product and untick Hide Inactive Suppliers are there any other Suppliers that have Preferred ticked? If so untick them.
  • Similarly, if you go to the Stock Locations tab and untick Hide Inactive Stock Locations, are there any duplicate stock locations? If so, delete them.

The package sizes vary amongst the items in qn, from 1 for a single bottle of ear meds, to 50 for a box of tablets. As I mentioned though, most of these items were ordering correctly only a few weeks ago so this cant be the problem. Also, why the discrepancy between the Stock order report & when I use Generate orders?

I have no outstanding, pending or part orders and there are no other linked suppliers & no other stock locations...

I've been assuming you are running at least 1.8. Is this the case?

Do you have the latest version of the stock reorder report loaded? This is included in <OPENVPMS_HOME>/reports/Reporting/Product/A4/Stock Reorder Report.jrxml

yes we are running 1.8.1

I'll download the latest reorder report and see if that makes a difference. We were hoping to set up electronic ordering soon, but if the generate order function isn't working properly maybe we won't be able to do this.
