Users Group Meeting - topic list

At the current time the suggested topic list is as follows:

  • Who/What/How is OpenVPMS Ltd [Peter Gooey]:
    • What (corporate structure, purpose, history)
    • Who (officers, employees, volunteers – and their functions/duties)
    • How (financial health, budget, subscriber numbers and profile, growing or shrinking, succession planning)
    • Discussion - should we try to grow, blocks to growth
  • Interface Redesign [Tim Anderson]: Design Goals; Vaadim; Implementation – phased/big bang, minimum screen resolution, supported devices, menu/navigation (keep current Workspace (top)/Topic (left) or switch to standard top menu with dropdowns), if switch to top menu+dropdowns, where to put left panel customer/patient summary data; Workflow control (should it be tighter); Click reduction possibilities
  • Interface Improvements - User Perspective [David Mason] - see https://openvpms.org/forum/users-group-meeting-topic-list#comment-11555 below
  • Technical Support and Marketing[Tony De Keizer]: Available technical and software support options for practices.  How can we get more practices using and promoting OpenVPMS.  
  • Reports [Tim Gething]: is the current report set sufficient, or should others be added – if so, what?
  • Internationalisation [Tim Gething]: do we need to do more, if so what?
  • OpenVPMS Next [???]: for the 1.9 release we polled the steering committee on ‘usability’ (see https://openvpms.org/development-tasks-usability-1.9 ) and ‘development’ items (see https://openvpms.org/development-tasks-technical-1.9). A number of these have yet to be implemented in either the 1.9 or upcoming 2.0 release. Which of these should be tackled for the release after 2.0?  Are there others to be added?
  • Projects [Matt Costa]: are there projects in the project list which are either $0 funded or not 100% funded. Should any of these receive Development Levy funding?

NOTE: it is envisaged that each topic will have a 'discussion leader' and that where possible the leader will provide a write up/handout prior to the meeting so that less time can be spent presenting and more on questions/discussion.  You will that I have suggested various people (the names in []). If anyone wants to be Mr/Ms ??? please speak up.

Greta has confirmed that a laptop and screen projector will be available and I for one will generate a set of bullet points to talk from. If the presenters generate this information, then a) we can upload it here for non-attendees to look at; b) for some topics (eg 'Who/What/How is OpenVPMS Ltd') we should be able to move straight to "any questions/comments".

Hi Tim,

Many thanks for getting this started.

You've got quite a comprehensive list and if we are going to tackle these in the night then some pre reading and assumed understanding would be great; but am also well aware of how busy everyone is with their own work as well.

Can we add to the agenda (possibly under Peter G's section) some discussion regarding the growth (marketing) of the program and also the user uptake of updates and improvements.  How can we improve how we market the program and the developments to both new potential practices and also to existing practices?  The forum is great, but sometimes things get missed on forums,etc.  Creating some more collegiality around the program would be fantastic, and help spread the word about the software.

David - I have added "Discussion - should we try to grow, blocks to growth" to Peter G's bit. My own feelings are: try to grow=not unless we are shrinking; blocks=need geek skills to install, migration from another VPMS is not easy.

Tim has wisely suggested some of the content should be generated and distributed prior to the meeting so we can read through before the night.

This should allow us to make our way through more content with the limited time available.

Do you have any projects that are partiocularly on your wishlist David?

In terms of getting some discussion going about a wish list of ideas and thoughts about how we can improve OpenVPMS I have canvassed some thoughts from amongst our team and have put together the attached document.

This is just my / our thoughts and am really keen to hear what everyone else thinks.  Some of the ideas within here will need to be part of the user interface update (lets reduce the clicks....) and other parts are projects have been defined (I think I have captured these within the document) but please let us know if you are aware of other projects that may related to any of these suggestions.

In regards to the projects list.  For the projects that are more than 2 years old and are still under discussion I think many of these are now redundant or the people behind them have found another solution?   Do we need to archive these?

From this list (projects prior to 2016 that are still under discussion or seeking funding) there are only a few that I think we need to implement:

David - neat set of slides. Some comments:

Left panel customer: balance & overdue - these are not the same if you are lenient with some customers - eg

Left panel Species/Breed: Combine to one line: Again disagree: a) if you are a Canine/Feline practice rather than a Dog/Cat practice (ie use latin species names) then the species takes more space; b) long breed names already cause overflow (our longest is "Schnauzer X Poodle X Yorkshire Terrier")

Total Wellness Plan:  how did you get this to appear? Are you running a tweaked version of OpenVPMS?

Customisable left panel fields: Neat idea. I suspect that the optimum way to set this up is to use a 'show most recent sale of products with product group XXXX using title YYYYY'. ie we need both a new function to get the information, and 'patient left panel config' facility to allow one to define both the data displayed and its title. We also need to be very careful about how/when this data is updated so as not to bog the system down with lots of database accesses to get information which has not changed.

Opening reminder and other windows (slide 5): currently we display this data in a 'modal' sub-window [ie user MUST close before continuing other work]. If we used a non-modal sub-window, then you could park this to the side while continuing what you were doing. I am not sure whether this is possible. The alternative is to open a new browser window to display to the data - ie automate the process of "open new browser window, call up current patient screen, click reminder widget in left panel".

Slide 6: you say "When applying a template to an estimate or invoice, we have a check box to chose which of the items are able to be added."  Do you mean ".... we NEED a check box..." rather than "... we have a check box..."? When I read this I wondered whether you had a tweaked version of OpenVPMS that already did this and you were suggesting that this feature be added to the standard version.

Slide 9 - Other Comments: The 'improve SMS functionality requirement': you might want to add "ie enhance the Appointment Reminder Sender job (see https://openvpms.org/documentation/csh/2.0/admin/job/appointmentReminder) to include schedule selection and allow multiple jobs (for different schedule selections). We might also consider adding the ability to send appointment reminders via email."

Slide 10 - More comments: Product Price History report. I think the best approach is to enhance the current Product Price Structure report to add a 'Show History' option which if checked would display historical prices.  Will put this on my to do list.

Slide 10 - Worklist transfer: doesn't the 2.0 "Improvements for multi-site practices" fix this. Here is the transfer screen when I have the practice location set to our Tseung Kwan O office and displaying the TKO worlist view:

As you can see the target list is limited to those in the curent work list view. If I check the all locations box, all 16 works lists get shown.

 

At last I have come to the end of my comments. David - a wonderful job. You will see in the top post that I have added you to the topic list.

Thanks for your responses and thoughts. 

Just a few comments...

Slide 1 - Balance / Overdue.   I definitely understand your position on this.  Wondering though do we need this information on every screen page for the client.   It would seem to me that we would look at this information at the accounts level, but the general user is not referring to this information regularly?

Slide 2 - Again - Just trying to look at what we need to see for every patient every screen?

Total Wellness Plan - this is a proprietary adaptation that we have within out OpenVPMS build.  This is one of the great strengths of OpenVPMS in that it allows this type of customisation.

Slide 6 - My mistake. This is a wish list idea, and not one that we have.  We would definitely like the ability to edit a template before it is applied to an invoice.

Slide 10 - Work list transfer.  Brilliant.  Problem solved :)  Thanks.

Slide 1 - Balance/Over due: Concur. Note that one can suppress the account information via the User Preferences. However, if you do this, then there is no way to see the information and one would want this available on the Customer|Accounts screen.

Slide 2 - Breed/Species: on the Patients screens the breed is shown at the top. You could tweak the archetype to also show the species. You could then remove species and breed from the left panel on the Patients screens - BUT I suspect that you want this kept on the left panel when on the Workflow Shedule and Worklist screens

Hi Tim,

Slide 1; - Could we make the account information selection more granular rather than an all or nothing?  Perhaps those in accounts may want to see all the information, but others may just see Balance | Unbilled | Projected amount (sum of balance and unbilled)?

Slide 2; - Yes; - I think we still need this information in the box on the left side when in the worklist or schedule views.

Comments.

1. I still don't like the terminology on the account information summary. e.g. Unbilled really means Unfinalised... I like the idea of granular selection though (+/- ability to change terminology).

2. 1/2 - I think if we are going to keep the sidebar it should just be better utilised. currently lots of empty space. Like the customisable fields idea (e.g. we would love to have the most recent estimate high/low amounts here.

2. 3 - Yes yes to all of this. I think this goes to the bigger issue of making editing easier in OVPMS.

2. (4) - Depends. This gives people another great way to avoid the consult screen and checking in/out patients. Another way to escape the workflow and stuff multiple other things up (e.g. checking to cubex/smarflow).

3. Problem page. yeah - we don't use. but I think can be disabled?

4. No comments

5. Invoice Screen - Yes to all comments. Some are already projects that just need implementation.

6. Patient alerts - Yes to edit. Other comment is that we need a way to make critical alerts MUCH more intrusive and disruptive to workflow. "Dog bites vets" and "Owner punches receptionists" are alerts that need to interrupt workflow and require acknowledgement before proceeding. Alerts are still regularly missed because they are no so much alerts as polite little flags down one side of the screen. You need to look for them, rather than being alerted by them.

7 Investigations. Yes to bulk functionality. Ditto for customer orders and in progress screen.

8. Roles and authorities improvements - Already a project but needs to be implemented.

Auditing is also super important and needs to happen.

Patient check in. Agreed. Could have one screen with multiple items on it that just rejects going forward without all required fields being completed.

7. Schedules - Agreed. I also would suggest that the patient screen search button is a bit useless. Why not just have it as a general search button (as in the customer screen). When you go to search you are presented with the current customer patients, but you can search all patients/customers if you wish. Why... because currently to do a global search I have to go from the patient screen to the customer screen. PITA when most clients only have 1-2 patients and so why do I need to do a search?

Adrian - re item 7 Patient Select - if you tick the 'All patients' checkbox this will look for Fido across all customers. As it says on the help screen https://openvpms.org/documentation/csh/2.0/patient/select (which you did read didn't you ;-) "To search the patients belonging to all customers (and not just the current one), click the 'All Patients' checkbox."

yup, I know. however I think the default behavior should be to search all, and you should be able to search for new client and patients from this screen as well. I.e. it should have the same search box as the client screen.

I agree with Adrian,  the default search function should be the same for both screens.   

Would make it a couple of fewer clicks.

With regards to pt 2.4; - yes - i understand your concerns.

Could we have it that a 'consult' button only appears on the patient summary screen IF the patient has a single active invoice?  This way if there are multiple invoices (eg different locations?) or if there are no invoices you couldn't upset third part software items (eg cubex).     Workflow initially would have to be the same (via schedule or worklist) to create the consult but from there on it is not required?

Just on a side note, does anyone particularly want to take minutes of the meeting and put this back into the forums? I can take notes if no one else wants to, but I'm not as fancy at putting it into a format like David has.

Great discussion on the forums.  I've updated my set of slides with the few additional comments for improvements where appropriate.
