Hi,

We do a annual news letter and would like to print out address labels for clients who have used our practice in the last 3years, is this possible?

Do you want to print labels or you want to print the newsletter with the client addresses merged on?

1. One way would be to use reminders. Create reminder type "newsletter" and change the template for each template. 2. Probably a better way would be to use the mailmerge function of open office to draw the customer details out of openvpms of a particular type. 3. Lastly, you could do this as a report.

I think option 2 would be ideal but I've never mail-merged using openvpms as a datasource (this was discussed once before in another post). Is this possible Tony?

I recently did this for a customer using openoffice to extract the address information for a specific set of customers directly from the OpenVPMS database. Does require an understanding of the database structure to create the necessary query but once done can be saved and use multiple times using different dates etc. Openoffice supports generating address labels in a wide range of formats (i.e Avery A4, continuous etc)

Hi Tony, As you know this is an issue for us here at Swanbourne in that we have always sent out new client welcome letters, Christmas cards, Christmas gifts and so on & are currently unable to do this. Any help we can get in setting the foundations for being able to do this asap would be gratefully accepted. Even generating reports based on client$ spent over the last 12-24 months seems impossible at this stage and there must be lots of practices like ours that concentrate on their data base for marketing the practice. I would be very interested to hear from someone who is experiencing similar frustrations and who may be further along the track of devising ways around it than we are. Regards,

I understand your requirements and in fact much of what you require is able to be done in your current version in the form of reports and also direct access to the database from Open Office. So not impossible or even improbable.

I think the real issue is currently there is no standard adhoc query and merging workspace in OpenVPMS to allow you to do this yourself. This means in order to have this happen someone internal or external to your organisation needs to develop and publish the reports or queries and set them up on your system. They would then be available for you to use and as your requirements change you could commission additional reports etc.

Alternatively someone may contribute these reports etc to the community as a whole via the shared resources area on the web site. This relies solely on someone spending their free time so typically you cannot reasonably expect it to be done or dictate a time frame for it's completion.

An third option is to use the OpenVPMS community to generate a basic requirements specification and then get together enough funds to commission development of either the necessary reports, queries, implementation documentation etc or on a grander scale the workspace mentioned above. I think many practices using OpenVPMS would have the same or similar needs and this way the costs are shared rather than borne individually multiple times.

Obviously the later takes more time so maybe you may need to investigate a combination of the three approaches ?

Hi Tony, Thanks for your email. I will pass this to Nickee to see how she feels she would like us to approach this. As you commented this must be an issue for many current Open VPMS users. I think the best way to approach this would be: 1. discuss with Gerrie or whoever to have the reports set up on our system so we can get the ball rolling 2. compose a well written enquiry to place on the forum asking for expressions of interest in joining us to set up a system for this 3. enquire of the forum who if anyone is doing this currently and whether they would be willing to share this information with the community.

Hi Tony (both),

 

We do do a bit of reporting. We have spent some considerable time learning the OpenVPMS data structure and then some more time learning the way to write queries to get that data.

 

If you have specific data reports that you would like generated could you define their contents and their presentation

(eg. I want all clinician sales within two dates and the ability to group by month then shown in a graph with the monthly totals detailed as well..)

 

Whilst I agree that developing a suite of reports for OpenVPMS is probably the domain of a funded subproject, maybe we can help you create a few critical reports in the meantime?
