stock not coming up for reorder, take 2

Hi,

I have a problem using the Generate Order function as per my previous post, that some stock is not coming up for reorder. It is not a simple set up issue as I have been through all possibilities and nothing is wrong there.

I have pinpointed a number of stock items that seem to be an issue. They all appear to have in common the fact that the current quantity of stock is below zero. I have run the "stock order report" and it has told me this. They are coming up for reorder on this report but have failed to appear when I use Generate order.

For example (on report): Atopica tablets ideal = 15, current = -15, order = 2 (boxes of 15) All correct. These have not come up for reorder when I generate order.

This is also the case for a few other items.

Some other items not in the negative now, are Not coming up for reorder either, but I could safely say that at some point in the past they have been in the negative & this is remembered in the back of the program & it is still not ordering correctly.

Please is someone able to confirm if this negative stock is an issue? I dont understand why it would be for the generate order function and not when running the report (but Im no computer person!)

Kerry - I do no think that negative quantities have anything to do with the problem. To provide more information, can you run the attached report. This is our Order List by Supplier report. Run with options like:

Because this is an in-house report, the Stock Location is set to EIAH - adjust this to you stock location - or blank it to check all stock locations (as I have to get the report below). Initially at least, set the Product to check one of the ones you are having problems with. The output looks like:

Don't worry about the Store column (we have a customised productStock location that allows up us to specify which 'store' within the stock location the item is held in). The usage colum should show real usage in your case - for the above it shows 0 over the last 6 weeks because the database I am using was taken from the production system last September.  If I run the above on production, then I get:

As you can see the Stock Location for the housecall business (David's car) runs negative quantities because although we have stock control turned on for this location, we use it only to track usage. You can also see that we have the ideal and critical quantities set to 0 for this stock location so nothing ever gets ordered for it.

You will also see that although the product can be sourced from two suppliers, only Therapon is set as the preferred supplier. Hence a) the product will be ordered from Therapon; b) a preferred supplier is set for the product so the 'Generate Orders' processing will pick consider this product.

Remember also that there are the 3 product check reports in the Resource Library - see http://www.openvpms.org/customisation/product-check-reports - I would be interested in whether these show any problems in your system.

I will have to download this report to run it as it's not currently on our list of reports (im unfamiliar at the moment on how to do this)

I have looked at the list of product check reports but am sure product set up is not the problem as the items in qn were coming up for reorder and now are not.

Kerry - have a look at http://www.openvpms.org/resources-using - almost certainly when you created the template, you did not set the type to Report - and hence it does not show on Reporting|Reports.

You should end up with something like this:

The only really critical ones are Type and Content (and Active of course) - the name and description can be anything, User Level 0 means all can use it, Report Type serves only to classify the report (the default is Other and it can be left at this) and all the others can be left at their default values.

The other way of approaching the problem is to look at the template for a report you know about, and copy its settings.

Also Pressing ALt-F1 when you have the Template screen up will get you to http://www.openvpms.org/documentation/csh/1.8/admin/template/documentTem... - which will tell you everything you need to know.

Hi Tim,

I'm still having issues with the generate order. It still seems to me the issue is to do with stock running into the negative. On the recent order I had 5 items in negative, all were ordered correctly on the stock order report, but incorrectly on the generate order.  The quantities ordered in generate order were all incorrect by the amount in the negative!

This seems to support what I am saying. If I have a product in the negative (as we ran out of stock & have billed some for a customer) I want it to recognise the negative amt and order that amt (which it's not doing). This is my problem. You on the other hand dont want it to order the negative amt, and it's not, so it's correct for your situation.

For the products you are having issues with can you report 3 4 things

 

1. Current Qty

2. Ideal Qty

3. Critical Qty

4. Supplier Exist and that it is set as a preferred supplier

 

Additionally run the report that Tim linked in and post those results as an attachment.
