Using the scheduler for boarding.

I would like to be able to use the scheduler for our cat boarding. I have tried setting it up but I can't seem to get it setup properly because the bookings go over 24 hours.

If an enclosure is booked out for say 3 days it will display on the scheduler on the day it's booked in to be booked out all day but on subsequent days does not appear. So, the enclosure appears available.

At present we use a separate excel worksheet for bookings but if I can set this up it would save alot of hassle.

Is there a better way to setup the scheduler for booking things out by the day? Or would we need to add the ability to create schedules with a slot length of days instead of minutes or hours?

Many thanks,

Matt Y.

Hi Matt,

I think the scheduler doesn't handle multi day bookings well or at all.  Tends to try and take up all the slots and behaves strangely.

I suggest you use worklists which may sound strange but has some merit.

You can create a separate boarding Worklist view which worklists that represent the different kind of cages/runs you have.

Each worklist can nominate a maximum slots which represents the number of the available cages/runs you have of that kind.

As you know from worklists the entry is visible between the start date and completed date.  The start date is typically set when you checkin or create the task and the completed date when you discharge the animal from hospital/complete the task.  But this doesn't have to be the case.

You can use the worklist view date selector to add a task to any future date and when adding the task set the completed date.  Essentially this is what you would do for a boarding booking.  The extra benefit is the system will tell you if you are trying to book boarding between dates where the number of cages/runs available on any day between those dates exceeds the maximum.

I hope this makes sense.

Cheers

Tony

This is a limitation of the scheduler. It doesn't support multi-day bookings, largely because no-one asked for it.

I thought there was a JIRA in the system for it, but not finding any I've created ARCH-29

Multi day appointments

Hi guys,

We use worklists for this as Tony describes.

Thanks for the advice Tony. I've setup a new worklist view for boarding and I think it will work well.

We were already using the worklists for boarding on admission but had never thought of using them in this way for scheduling.

If there is an overbooking during the selected period does the system tell you when the overlap actually occurs, or do you need to manually find the overbooking? eg. trying to book for 2 weeks and there isn't space on the last 2 days does it just say there's no availability or does it say there's no space on x and y days?

Hi Matt,

Should definitely tell you if you exceed the maximum slots in the schedule on any day within the date range at the time of making the booking.  Not sure what the error is though :-)  May have to try it.

Cheers

Tony
