Jane - what version of OpenVPMS are you running? I suspect not 1.8 - which includes reports to generate lists of email addresses. One has selection as follows:

If all you want is 'email newsletter to all' then you need the first. If you look at the long discussion at http://www.openvpms.org/forum/generating-active-client-period-list you will see that there is a version for 1.7. The 1.8 version has fixed a couple of problems (eg what to do about multiple email addresses).
However, if you are running 1.7 then I can post the version Sam ended up with.

Thanks Tim, We are still using 1.5 but are due for an update any day. We are waiting for a new server. I will wait until we get the update & try again.

The other decision you should make is HOW you are going to email these letters.
1. Create an email in your mail sender of choice and email it out
2. Utilize an online service that can do it for you
There are benefits to both - the first is low cost, but you need to make sure you comply with SPAM prevention laws - otherwise you may find your IP blacklisted quickly and none of your emails(even the reminder ones or personal that are sent from the business) will get sent. Also make sure you dont just copy and paste the list into the to: box - I lose the plot with anytime a recieve an email like this with hundreds of address's - if you do you cross a number of privacy issues and people could get irate.
The second can be costly depending on how big the email list is - but the service will manage things like bounces, unscubscription, and click tracking to give you better data as to how successful the campaign might have been. Your IP will never get blacklisted this way
